The Conference remains committed that all sponsors will be provided at least one table in the exposition area of the Conference. All vendors must sponsor the Conference at any one level to host or showcase their organization. The Conference also welcomes four-year colleges to have a reserved table in the Exhibition area to interact and engage with participants.
Please read important information below before completing the online sponsorship and Table Reservation Form.
Deadline for advertisement and institutional logo received by the Conference is Friday, March 29th (4 PM) along with the payment made so that it can be included on the Conference Program. Sponsors will be recognized on the Conference’s main website page as well.

The below Sponsorship form will take you to an external and secure site maintained by Humanitix. Please note that Humanitix charges the Conference about 3.5% of payment made towards its fees. If you or your organization would like to ensure that 100% of your sponsorship payment goes towards Conference for tax purpose or any other purpose, please choose the invoice option when completing the form on Humanitix website. You can then choose to pay with a credit card by calling Carroll Community College or sending a check - Please see information below on this website page (see below). Once you click the link below, click the “Get Tickets” button. You will then be able to choose the type of sponsorship. You can opt out of paying fees. Also, if you do not want to pay online, please choose the invoice option. Invoice, if requested, will be sent to you generally within an hour or two to the email address entered in the form after the form submission.

All payments made either online, over the phone or sent as a check must be received by the Conference by Friday, March 29th (4 PM)

Full page ad (8.5 inch by 11 inch) in the Conference Program. It must be submitted as a high resolution JPG picture format.

Institutional logo in the Conference Program. It must be submitted as a high resolution JPG picture format.

Prominent showcase at the Conference site and on the website. A gold sponsor can display a printed banner that is no longer than ten (10 feet) in length. Sponsors will have to ship or deliver the banner to the Conference by Monday, March 25th (5 PM)

Up to two (2) tables provided at the Exposition on the Conference day with the exception of community colleges. The table must be staffed with at least one representative and the Conference respectfully requests that there are no more than two representatives per table. Please let the organizer know as to how many tables you will need.

Community Colleges who sponsor at Gold level can have a banner displayed at the event that is no longer than ten (10) feet in length which will be displayed inside the building. Sponsors will have to ship or deliver the banner to the Conference by Monday, March 25th (5 PM)

Submission Instruction for Organization’s Logo and Advertisement
You can verify previously submitted or submit your revised organization’s logo at the following website. The organization’s logo must be submitted as a high resolution JPG format.

You can verify previously submitted or submit your revised organization’s advertisement at the following website. If your prior advertisement has a mention of the Conference year, you are requested to submit a revised one to reflect the 2024 Conference. The advertisement must be submitted as a high resolution JPG format. The intent of the advertisement is to congratulate the students, faculty and staff participants at the 9th Conference. However, the Conference leaves the content of the advertisement to the sponsors. Sponsors who are going to deliver or ship the banners must deliver in-person or have it mailed to Dr. Raza Khan, 1601 Washington Road, Carroll Community College, Westminster, MD 21157.


Transfer Table Reservation
Open for only Four-Year Colleges and Universities

The Conference welcomes colleagues from Admissions or Transfer Admissions offices at four-year colleges to reserve a dedicated table where they can engage with participants. There is a non-refundable fee of $200 with a benefit of two free registrations. The Conference request no more than two representatives at a single transfer table. The four-year colleges are welcome to have multiple transfer tables but they must pay $200 per each table or choose to sponsor at Silver or Gold levels where they have access to multiple tables in addition to showcase in the Program document and at the Conference site. An online form has to be completed to reserve a table - see the link above. If a four-year college sponsors the Conference at any level, they do not have to pay a table reservation fee.
The table reservation does not come with any highlight such as advertisement or institutional logo in the Conference Program. The $200 Table Reservation option is only available to four-year colleges both within and outside Maryland. Alternatively, four year colleges are welcome and encouraged to sponsor the Conference to take advantage of great benefits of sponsorship and do not have to pay the $200 Table reservation fee .

Payment Method for Both Sponsorship and/or Transfer Table Reservation - Due at 4:00 PM on Friday, March 29th

Non-refundable Transfer Table reservation fee of $200 or non-refundable sponsorship payment at either Bronze, Silver or Gold levels (see above) can be made in two ways. Before making any payments, please do make sure to complete the online Sponsorship and Table Reservation Form (see the link above)

1) Payment Made on Humanitix Site - You can securely make a payment with your credit card on the Humanitix website. 2) Credit card over the Phone: You can pay during business hours by calling the Carroll Community College’s Business Office at (410) 386-8040 on Mondays to Thursdays (8:30 AM - 5:30 PM) and on Fridays (8:30 AM -2:30 PM). Please ensure to provide your full name, email address and organization’s name. The College is closed for Spring Break from Saturday, March 16th - Sunday, March 24th. Receipts of payment will be sent within 48 business hours to the email provided during payment process.

3) Checks: Please write checks to "Carroll Community College" and please make sure to write "Maryland Collegiate STEM Conference" in the memo field of the check and send it to Dr. Raza Khan, Division Chairperson of Sciences, Carroll Community College, 1601 Washington Road, Westminster, MD 21157. Please know that the College is closed for Spring Break from Saturday, March 16th - Sunday, March 24th.. Checks must have been postmarked by Monday, March 18th to be received on-time. Please include the name and email addresses for whom the payment is being made. Receipts of payment will be emailed within 48 business hours of the processing of the check received by the College.
